Our Solution Approach
Creator Portal for Subordinate Companies
A dedicated Zoho Creator Portal was developed to allow subordinate companies to submit Enquiries, place Sales Orders, and enter Machine Specifications in a streamlined manner. Each subordinate company accesses the portal using unique login credentials, ensuring secure usage and controlled access to their own data.
Role-Based Access Control (RBAC)
Record-level access controls were configured so each user or company can view only their own Enquiries, Sales Orders, and Machine Specifications. There is no cross-visibility between different companies, ensuring strict data privacy, security, and complete data segregation.
Enquiry Form
A structured Enquiry Form enables subordinate companies to raise enquiries with ease. The form includes lookup fields for Account and Contact, both directly linked to Zoho CRM. Upon submission, all enquiry data is automatically pushed to CRM with accurate mapping for seamless tracking and follow-up.
Machine Specification Form
A detailed Machine Specification Form was created to capture technical information such as Machine Code, Machine Group, Product Code, Quantity, and more. When a Machine Code is selected, technical details auto-populate from a master reference. Each submission is assigned a unique Machine Specification Number for proper tracking and reference.
Sales Order Submission (Linked to Machine Specification)
A dedicated Sales Order module allows subordinate companies to submit orders by selecting previously created Machine Specification Numbers. The system automatically fetches related technical details—such as Machine Code and Quantity—ensuring accurate linkage between Enquiries, Machine Specifications, and Sales Orders.
Automatic Market Tagging
The system automatically fills the Market field (ASEAN, India, or Group Company) based on the user’s profile. This ensures consistent and error-free market classification across all submissions without any manual selection required.
CRM Integration
All Enquiries, Machine Specifications, and Sales Orders are seamlessly synced to Zoho CRM, maintaining accurate mapping of Market, Account, Contact, and all technical details. This real-time integration provides complete visibility for internal teams, enabling faster follow-ups and efficient decision-making.
